Before they arrive
- Confirm the bed is actually vacant and not promised to someone else.
- Check the room matches the tenant (for example gender rules in the building).
- Agree rent, deposit, lock-in and notice period in writing before move-in.
- Agree the move-in date, and how the first month will be pro-rated.
- Share the house rules, visitor policy and meal timings.
On move-in day
- Collect identity details and ID documents, and note the room condition.
- Get the agreement read and signed, and keep a copy for both sides.
- Record the starting electricity meter reading and the date.
- Collect the deposit and the first rent, with a receipt.
- Share the payment details: one UPI ID or account, and how to send proof.
In the first week
- Make sure the tenant has the app or channel for complaints and bills.
- Confirm they received their first invoice and understand the due date.
- Walk them through meal skips, visitors and the complaint process.
Doing it without paperwork
With PG Nexon you pick a vacant bed, enter rent, deposit, lock-in, notice period and move-in date, and send a WhatsApp invite. The tenant fills in their details, uploads their ID and signs your agreement on their phone. You review and approve, and the first invoice for rent and deposit is created. The bed is held while they finish, and is released automatically if the invite expires. The signature is drawn on the phone and stored as a PDF; it is not an Aadhaar eSign, so check stamp-duty rules with your lawyer.
